Meeting the Challenge of Seamless Communication

A global e-commerce giant sought to implement a consistent and adaptable audio-visual (AV) standard across multiple sites in Europe, including London, Amsterdam, Dublin, Bern, Brussels, and Luxembourg. Their goal was to create a uniform user experience in all meeting spaces, allowing employees to step into any room worldwide and immediately recognise and operate the technology with ease.

Workspace Audio Visual was entrusted with deploying and integrating a client-specific AV solution that adhered to their global standards. The project required the implementation of Neat solutions, Samsung displays, and client-standard integration systems across various locations, ensuring a seamless and efficient AV experience.

The Client’s Challenge

The client faced several logistical and technical hurdles. Coordinating a multi-site deployment across different countries introduced challenges with delivery timelines, local regulations, and cultural differences. A major concern was ensuring that AV equipment arrived on schedule, particularly given the complexities of international shipping. To mitigate potential delays or cancellations, detailed contingency plans were required.

Moreover, the client sought a globally standardised AV design – one that would function consistently across all locations without being hindered by regional supply constraints. Adaptability was crucial, as the business continuously explored new AV technologies to align with its evolving corporate roadmap. The overarching objective was to enhance communication and collaboration by streamlining AV solutions into a single, recognisable standard.

Delivering a Tailored AV Solution

Workspace Audio Visual collaborated closely with the client and leading technology manufacturers to implement a solution tailored to their specific needs.

For meeting rooms accommodating 4 to 12 people, the Neat product suite was chosen, seamlessly integrated with Samsung displays and Chief mounting systems. These setups were optimised for use with the Zoom video conferencing platform, ensuring intuitive operation and high-quality communication.

For larger spaces, including all-hands meeting areas and conference rooms exceeding 12 participants, a more advanced AV setup was deployed. This included Samsung large-format displays or video walls, HP Poly codecs and cameras, and Shure microphones. Extron systems were used for control, switching, amplification, and speaker integration, ensuring an optimised audio experience. Crestron room booking panels were also installed to facilitate efficient room scheduling and reduce instances of unused or ‘ghost’ bookings.

This solution was chosen not only because it met the client’s high standards but also because of its global availability and adaptability. The collaboration between Workspace Audio Visual, the client, and manufacturers ensured a flexible, scalable solution that would serve the company’s needs across multiple locations.

The Installation Process

Executing a project of this scale required meticulous planning, coordination, and technical expertise. The deployment followed a structured approach:

  1. Planning & Design – Workspace Audio Visual worked closely with the client to understand their specific requirements, focusing on flexibility, ease of use, and global consistency.
  2. Installation – AV systems were installed at each location, ensuring that all meeting spaces adhered to the agreed-upon standards.
  3. Integration – A comprehensive effort was made to integrate the AV solutions seamlessly across different sites, maintaining uniformity.
  4. Testing & Quality Assurance – Each installation underwent rigorous testing to ensure that performance met the client’s exacting standards and provided a seamless user experience.

A key challenge was the unpredictability of international shipping and logistics. Workspace Audio Visual overcame these issues through detailed planning, maintaining close communication with suppliers, and implementing contingency measures to address any delays.

The Results & Impact

The deployment of the new AV system significantly improved the client’s workspace. By increasing the number of meeting rooms equipped with cutting-edge AV technology, the organisation was able to meet the growing demand for high-quality communication spaces. The new system also reduced meeting setup time, ensuring that employees could start calls and presentations without technical delays.

One of the most impactful enhancements was the introduction of Crestron room booking panels. These eliminated inefficiencies caused by ‘ghost bookings,’ ensuring that meeting spaces were used more effectively. Furthermore, usage data revealed a preference for smaller 4-8 person meeting rooms over larger boardrooms, providing valuable insights for future office planning.

With a streamlined AV experience in place, the client saw improved productivity, better collaboration, and a reduction in meeting room downtime. Employees could now rely on a consistent and user-friendly AV setup, no matter which office they worked from.
